The Studio Admin Coordinator is a vital link between studio operations and accounting departments, ensuring that all client sessions and services are accurately invoiced and properly tracked. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced creative environment where accuracy and timeliness are essential.
How You'll Create:
Generate and issue client invoices based on studio bookings, engineering time, equipment rentals, and other billable services
Track and manage outstanding balances; follow up on overdue payments in a professional and timely manner
Collect and reconcile payment records
Acquire and apply appropriate SAP codes and Purchase Orders to internal cost centers, as well as utilizing appropriate billing methods for external clientele
Work closely with the studio’s administrative and production teams to verify session logs, purchase orders, and rate card consistency
Maintain organized digital and physical billing files for auditing and historical reference
Assist with month-end and year-end closing processes, including reporting on receivables and revenue summaries
Support other finance-related administrative tasks as needed, such as vendor setup, purchase requisitions, and expense documentation
Actively manage COIs, vendor agreements, cartage, and other pertinent client documents
Bring Your Vibe:
Bachelor’s degree in Accounting, Business Administration, 2+ years of experience in a creative or entertainment industry setting; equivalent experience will be considered
Familiarity with studio operations, production schedules, or media workflows preferred
Strong working knowledge of SAP coding and appropriate studio accounting software (QuickBooks, Studio Suite, Airtable, Microsoft Excel etc.…)
High attention to detail and ability to meet deadlines in a fast-paced, deadline-driven environment
Excellent communication and organization skills, with the ability to interact professionally with clients ranging from independent musicians to major label executives
Passion for music, innovation, and the evolving landscape of audio production technology
