Role Overview : As the Meetings Program Manager supporting the Strategic Partnerships team, you will play a pivotal role in driving the success of Gartner Conferences by orchestrating meeting programs that facilitate meaningful engagement between internal business units and conference attendees. This highly collaborative role requires exceptional attention to detail and robust project management skills to ensure seamless execution across a diverse portfolio of conferences and stakeholders. Key Responsibilities : Cross-Functional Collaboration: Partner closely with internal teams—including Conference Strategic Partnerships, Business Technology Solutions, Logistics and Content, Branding & Journey - as well as Sales and Service Delivery leaders. Build strong relationships with stakeholders at all levels to understand their objectives and translate them into effective meeting center strategies. Operational & Process Management: Lead the end-to-end planning, implementation, and oversight of meeting center operations across multiple conferences, ensuring all programs are executed to scope and requirements. Manage timelines, resources, and deliverables while adapting strategies to meet evolving business needs. Oversee the development, testing, and maintenance of integrated scheduling tools to ensure accuracy in booking processes, data integrity, and effective external communications. Monitor meeting center bookings, troubleshoot issues, and maintain comprehensive records to evaluate utilization and quantify value. Stakeholder Engagement: Serve as the primary point of contact for internal and external partners, including conference attendees, Gartner associates, and business unit leaders. Communicate meeting center strategies, provide training and support, and ensure all stakeholders are equipped to utilize meeting program technologies effectively. Operational Excellence: Manage meeting center resources, booking tools, and onsite operations, including check-in desks and attendee guidance. Prioritize client experience by efficiently handling bookings, cancellations, and changes, and by adapting to the dynamic flow of meetings during conferences. Continuous Improvement and Project Manage Enhancements: Collect and analyze quantitative data on meeting center usage. Gather feedback from stakeholders to identify opportunities for process enhancements and contribute to the development of scalable, high-impact meeting program solutions. Who You’ll Work With : Internal Conference Teams: Strategic Partnerships, Business Technology Solutions, Logistics, Content, Branding & Journey,  Internal Gartner Contacts: Sales leaders, Service Delivery leaders, Sales/Service Operations, Experiential Marketing, and other Business Unit leaders External Conference Contacts: Gartner clients and prospects attending conferences in-person Onsite Responsibilities : Oversee meeting center operations at select conferences, supporting associates and attendees with booking processes and technology usage Provide training and support to onsite teams, ensuring a flawless client experience Monitor meeting program capacity and generate daily reports to inform decision-making Ideal Candidate Profile : Proven experience in project management, preferably in events, conferences, or stakeholder engagement roles Exceptional attention to detail and organizational skills Strong interpersonal and communication abilities, with a talent for collaborating across teams and seniorities Comfortable managing multiple priorities in a fast-paced, dynamic environment Technologically savvy, with experience in scheduling or CRM platforms a plus #LI-DT1 #LI-hybrid Who are we?
