The Role We are seeking an experienced Program Coordinator to support the delivery of a large-scale science and technology exhibition for a Global Enterprise SaaS organisation.
This role will partner closely with senior event stakeholders to coordinate operational planning, logistics, vendor management, production activities, and onsite event execution for a major public-facing event in Dublin.
The successful candidate will help deliver a world-class experience for attendees, participants, partners, and stakeholders while ensuring operational excellence and project success.
Responsibilities / Role Specific Context Support large-scale event logistics including venue operations, exhibition builds, catering, audio-visual production, transportation, staffing, signage, branding, security, and health & safety.
Develop and maintain detailed project plans, timelines, deliverables, and stakeholder communications.
Coordinate cross-functional meetings and ensure follow-up on actions, risks, and dependencies.
Monitor project progress, manage changes, and maintain project tracking tools.
Collaborate with internal and external creative teams on content production and event branding.
Create detailed run-of-show documents, production schedules, and attendee flow plans.
Conduct post-event evaluations, KPI analysis, and stakeholder feedback reviews.
Manage vendor documentation, contracts, contact records, and lessons learned for future event planning.
Travel may be required as part of the role.
Minimum Requirements 6+ years of experience in event management with a strong background delivering large-scale exhibitions, trade shows, festivals, or consumer events with 30,000+ attendees.
Experience managing complex venue operations and multiple agency/vendor relationships.
Strong communication and stakeholder management skills.
Demonstrated project management experience overseeing multiple concurrent initiatives.
Ability to adapt in fast-paced environments while effectively prioritising competing demands.
Data-driven approach with experience tracking KPIs, milestones, and project outcomes.
Exceptional organisational skills and attention to detail.
Strong collaboration, problem-solving, and consensus-building capabilities.
Experience developing scalable processes and operational efficiencies.
Bachelor's degree or equivalent qualification.
