Purpose To provide administrative support to Parking and Transportation Services (PTS) through permit administration, account management, financial processing, customer service, and departmental operational support.
Responsibilities Manage departmental parking permit issuance, maintenance, and account administration using the FLEX parking management system.
Analyze, evaluate, update, and maintain departmental records and administrative systems to ensure data integrity and compliance.
Create, update, and maintain customer, departmental, and third-party accounts.
Sell and issue parking permits and parking assignments for faculty, staff, students, visitors, athletes, departments, and affiliated organizations.
Provide exceptional customer service by resolving parking, permit, billing, and account inquiries.
Monitor account activity, identify discrepancies, prioritize issues, and notify the Administrative Coordinator of critical information.
Coordinate with PTS Accounting and Administrative staff to process transactions and ensure compliance.
Process IDTs, invoices, validations, deposits, and related financial transactions while maintaining accurate records.
Validate parking transactions using the Amano One system and complete monthly departmental billing.
Prepare, maintain, and distribute reports, logs, financial records, budgets, and confidential documentation.
Utilize Microsoft Office and Microsoft Teams to support communication, reporting, and daily operations.
Operate University vehicles as needed.
Support major university events, including required home football games.
Perform other duties as assigned.
Required Qualifications High school diploma or GED required. Minimum of two years of administrative, customer service, accounting support, parking operations, or office management experience. Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Microsoft Teams, with the ability to comfortably and effectively use these applications for communication, reporting, data management, presentations, scheduling, collaboration, and daily business operations. Strong organizational, analytical, communication, customer service, and problem-solving skills. Ability to manage multiple priorities, maintain confidentiality, meet deadlines, and work effectively both independently and as part of a team. Valid driver license and ability to operate University vehicles. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications Associate’s or Bachelor’s degree in Business Administration, Accounting, Public Administration, or a related field. Three or more years of progressively responsible administrative experience. Experience with FLEX, Amano One, QuickBooks, parking management systems, customer account management, financial reconciliation, invoicing, budgeting, reporting, and higher education administrative operations. Advanced proficiency in Microsoft Office Suite, specifically Outlook, Excel, Word, PowerPoint, and Teams. Experience working with University policies, procedures, and enterprise software systems.
Driving Required This job requires a class "C" operator's driver's license. The applicant selected must provide a current three-year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
Salary Range $42,000 + depending on qualific
