PURPOSE The Administrative Associate IV serves as a key operational partner to the Division of Research and Innovation, providing high-level administrative support that enables strategic initiatives and ensures seamless daily operations. Reporting to the Senior Administrative Coordinator I, this role requires independent judgment, discretion with confidential matters, and the ability to serve as a professional liaison between leadership, faculty, staff, students, and external stakeholders. RESPONSIBILITIES Administrative Support: 50% Delivers comprehensive administrative support to the Division of Research and Innovation (R&I) and Office of the Executive Vice President. Coordinates complex calendars for R&I leadership team, schedules meetings, and manages conference room reservations. Assists with managing front-office operations, including greeting visitors, answering multi-line phones, and directing inquiries. Serves as a resource for administrative procedures, services, and program information. Processes purchasing transactions, reconciliations, travel authorizations, and expense reimbursements in accordance with State, university, and division guidelines. Ensures accuracy and quality of all work products through systematic review and quality control measures. Maintains administrative databases, performs data entry with high accuracy, and generates regular status reports. Updates and maintains division website content, ensuring accuracy and currency. Operations Support: 30% Coordinates maintenance of office technology, equipment, and common areas. Submits and tracks work orders for facilities maintenance and repairs. Manages division listservs and prepares internal communications and announcements. Participates in the coordination of logistical planning and execution for division events and initiatives, including venue booking, catering, supply procurement, and setup/breakdown. May be required to pick up and deliver supplies, materials, equipment, and rental vehicles as needed to support division operations. Develops and reviews training materials, resource guides, marketing materials, and other items assigned. Provides on-site logistical and technical support for meetings, workshops, and special events. Executive Support & Special Projects: 20% Manages complex, sensitive, and highly confidential matters with discretion. Serves as backup scheduling support for the Executive Vice President for Research and Innovation. Supports senior staff with special projects, strategic initiatives, and ad hoc assignments. Works flexible hours as needed to support university and division events and priorities. May recruit, hire, train, and supervise student employees. Performs additional duties as assigned to support division goals. QUALIFICATIONS High school diploma or GED. Four (4) years of related work experience. Additional education may be considered as substitution for the minimum experience requirements: Associate’s degree and two (2) years of related work experience; OR Bachelor’s degree. KNOWLEDGE, SKILLS, AND ABILITIES Maintain Valid Driver License Strong written and verbal communication skills Intermediate proficiency in Microsoft Office Suite High level of articulation and professionalism Exceptional attention to detail Critical thinking and proactive problem solving Ability to take initiative and identify opportunities for improvement Ability to either work in a team environment or independently with minimal guidance Ability to manage and prioritize tasks, resources, and time effectively PREFERRED QUALIFICATIONS Experience working in higher education and/or front office reception environments. Previous experience with systems and software used within the Texas A&M University System (i.e. Workday, Emburse, AggieBuy, Cascade CMS, etc). SALARY: Up to $19.25 Hourly ($40,040.00 Annual, Approximately) NOTE:  Employment may be impacted by the Presidential proclamation issued on September 19, 2025 and the moratorium issued by Texas Governor Abbott on January 27, 2026.
