Participates in hiring processes and oversees human resources functions such as onboarding, performance evaluations, and timekeeping. Conducts regular team meetings to communicate updates, align on procedures, and promote collaboration. Plans and executes department and organizational events, including town halls and leadership functions, while supporting executive-level logistics. Oversees departmental operations including procurement and maintenance of equipment, supplies, and furnishings, and may manage budgetary responsibilities. Supports leadership with complex scheduling, travel coordination, event planning, and meeting logistics. Provides comprehensive administrative and secretarial support including reception, correspondence, research, and preparation of agendas, reports, presentations, and meeting minutes. Develops, updates, and maintains departmental policies, procedures, and contract documentation. Communicates effectively with staff and leadership, representing the department professionally to internal and external stakeholders. Facilitates strong working relationships between administrative staff and leadership to support organizational goals. Coordinates document management and ensures departmental compliance with filing and maintenance protocols. Collaborates with leadership to support strategic initiatives and special projects requiring administrative oversight. Performs other duties as assigned. Knowledge, Skills, and Abilities: • Ability to prioritize, coordinate/organize and perform multiple priorities/responsibilities in a calm, productive and flexible manner, while meeting required and ever-changing deadlines [Required] • Ability to manage support staff, maintaining high level of performance and staff morale [Required] • Ability to use discretion, maintain confidentiality and adhere to corporate, legal and regulatory guidelines, i.e., HIPAA [Required] • Detail-oriented with strong proof-reading and editing skills [Required] • Excellent oral and written communication and presentation skills [Required] • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Access, Project, Visio, and Live Meeting [Required] • Basic accounting, human resources, legal and/or contract administration knowledge [Required] • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations [Required] • Ability to write reports, business correspondence, and procedure manuals [Required] • Ability to effectively present information and respond to questions from different sources, including directors, physicians, customers, and the general public [Required] • Ability to make independent decisions and use own discernment when prioritizing projects and daily workload [Required] • Must be able to read, write and speak conversational English; bi-lingual skills [Preferred] • Demonstrated leadership capabilities, including ability to negotiate contracts, develop corporate partnerships, work effectively with leadership, and manage and develop employees with diplomacy and professionalism [Required] • Ability for long-range program development with sensitivity to cost containment measures [Required] • Ability to develop marketing materials and plan and organize functions, projects, and meetings [Required] • Knowledge of Medical Terminology and Oncology [Preferred] • Meeting Planning [Preferred] Education: • High School Grad or Equiv [Required] • Associate [Preferred] Field of Study: • N/A Work Experience: • 3+ job related experience [Required] Additional Information: • N/A Licenses and Certifications: • National Notary Association Notary Public (NNANP) [Preferred] Physical Requirements: (Please click the link below to view work requirements) Physical Requirements - https://tinyurl.com/23km2677 Pay Range: $54,680.66 - $101,717.57 Background Screening Requirement (Florida Law) Certain positions are subject to Florida Level 2 background screening , including fingerprinting, as required by state law.
