Role Outline The Parts Coordinator supports the Maintenance organization by coordinating the procurement, expediting, inventory accuracy, documentation, and administrative flow of maintenance parts, materials, external services, and storeroom supplies. This role partners with maintenance leaders, planners, engineers, technicians, storeroom personnel, production stakeholders, vendors, and manufacturers to ensure parts and services are requested, sourced, received, tracked, and available when needed to support safe, reliable, and efficient plant operations. The position helps maintain accurate requisitions, material masters, inventory records, bulk stock information, and vendor delivery follow-up while promoting Zero Harm, cost discipline, and responsive service to internal customers. Key Focus Areas Parts, Services, and Requisition Coordination Create and maintain maintenance requisitions for parts, materials, capital-related items, and contracted services using complete, accurate, and timely information from maintenance engineers, planners, storeroom employees, maintenance associates, and other requestors. Clarify specifications, quantities, delivery requirements, quoted prices, substitute items, and approval needs with requestors before purchase activity is completed. Maintain accurate material master, requisition, and purchasing information to support store stock requirements and maintenance planning needs. Use business systems such as SAP, Microsoft Office, email, and other tracking tools to document requests, approvals, order status, receipts, pricing, and follow-up actions. Vendor, Supplier, and Delivery Management Communicate professionally with suppliers, manufacturers, and vendor representatives regarding product availability, pricing, specifications, lead times, shipment status, and delivery performance. Support best-value sourcing by balancing price, quality, availability, delivery reliability, and the urgency of maintenance and production needs. Track open orders and expedite parts or services when required to meet outage, breakdown, preventive maintenance, and project timelines. Resolve shipping, receiving, pricing, and delivery deviations by coordinating with vendors and affected maintenance personnel and escalating issues as appropriate. Storeroom, Inventory, and Materials Support Support efficient storeroom operations by helping maintain accurate records of quantity, type, value, price, receipt, and disbursement of stocked parts, materials, and supplies. Coordinate cycle counts, physical counts, periodic audits, and discrepancy follow-up to improve inventory accuracy and system reliability. Maintain bulk stock lists, pricing, and replenishment information in coordination with storeroom and maintenance stakeholders. Support housekeeping, organization, labeling, documentation, equipment plans, procedures, SOPs, and safe work practices in the parts room and related storage areas. Maintenance and Reliability Support Coordinate parts availability in support of daily and weekly preventive maintenance, planned work, outages, breakdown response, repair work, and project-related activities. Partner with maintenance planners, engineers, supervisors, and technicians to ensure service kits, critical spares, and routine parts are available when needed. Identify repeat stock issues, delivery risk, obsolete or missing information, and improvement opportunities that affect maintenance execution or equipment reliability. Support continuous improvement efforts related to MRO inventory, vendor performance, purchase request flow, documentation quality, and maintenance customer service. Safety, Compliance, and Professional Conduct Work safely and follow site expectations, PPE requirements, warehouse practices, and applicable procedures when entering the maintenance shop, storeroom, mill, or production areas. Maintain courteous, tactful, and professional relationships with internal customers, vendors, manufacturers, and co-workers. Protect business interests by maintaining accurate records, supporting reasonable pricing, and ensuring purchasing and inventory activities align with company practices and approval requirements. Respond promptly to time-sensitive requests such as quotes, expedite needs, receiving deviations, delivery changes, and outage-related part requirements. Foundational Experience Required Qualifications and Experience High school diploma or GED required. Demonstrated experience coordinating, purchasing, expediting, receiving, or managing parts, materials, supplies, or services in a manufacturing, maintenance, warehouse, storeroom, or similar operational environment.
