Description of Work The North Carolina Zoo is expanding, making this an exciting opportunity to join our team. We are seeking a dynamic, efficient, and enthusiastic individual to serve as a Seasonal Security and Risk Management Administrative Specialist. In this role, the Administrative Specialist supports the Security and Risk Management Director by providing administrative and operational support that contributes to a safe and secure environment inclusive of guests, employees, volunteers, facilities, animal collection, plant collection, and art collection. Responsibilities include maintaining accurate records, coordinating safety and security documentation, supporting incident reporting, and assisting with compliance, risk assessments, and emergency preparedness activities. This position works under the direct supervision of the Security and Risk Management Director and is expected to collaborate effectively with coworkers, demonstrate strong motivation, and—once trained—perform duties with professionalism and a high level of independence. Key Responsibilities include but are not limited to: *Provide general administrative support to the Security and Risk Management department. *Maintain organized records for incident reports, investigations, and safety documentation. *Prepare correspondence, reports, and meeting minutes. *Manage calendars, schedule meetings, and coordinate training sessions. *Assist with logging, tracking, and filing security incidents, accidents, and near-miss reports. *Support risk assessments and audits by compiling data and documentation. *Monitor compliance with safety policies, procedures, and regulatory requirements. *Assist with emergency planning documentation and updates. *Act as a point of contact between security staff, zoo departments, and external stakeholders. *Assist with communication of safety notices, procedures, and policy updates. *Coordinate contractor and visitor access documentation where required. *Maintain databases related to security, incidents, and risk management. *Generate routine reports for management review. *Track trends in incidents and assist with basic analysis. *Assist in organizing security drills, safety training, and induction programs. *Maintain training attendance records and certifications. *Support accreditation, insurance, and regulatory compliance documentation. Knowledge Skills and Abilities/Management Preferences Recruitment Range: $17.00 - $18.00 per hour To receive credit for your work history and credentials, you must provide the information on the application form. Candidates meet the minimum qualifications of this position if they meet the minimum education and experience listed on the vacancy announcement. Vacancy specific knowledge, skills, and abilities (KSAs) and/or management preferences are not required. Applicants who possess the following are preferred: Management Prefers Experience in an administrative or office support role. Proficiency in Microsoft Office (Word, Excel, Outlook) or similar systems. Experience coordinating meetings, training sessions, or staff records. Position & Physical Requirements Must be available to work a diverse work schedule, Monday–Friday from mid‑January through mid‑December; may work weekends and holidays if needed. This is an 11 month position. Must comply with NC Zoo Dress Code and Appearance Policy, including all Zoo policies and guidelines. Ability to handle sensitive and confidential information. Ability to work calmly under pressure and manage competing priorities. Must possess sufficient cognitive ability, auditory and visual acuity, and communication skills to perform essential duties and follow general safety practices. Must have the ability to navigate paved as well as rough or uneven pathways. Ability to work in extreme weather conditions typical to Central NC (heat, rain, or cold) and stand or walk for extended periods. Must be willing and able to work varied and long shifts, including holidays, weekends, and special events as needed. Must be able to work in a variety of physical positions, including sitting, bending, reaching, standing, walking, and lifting or carrying 30 lbs. Must be at least 18 years of age.
