Executive Assistant for Deputy General Counsel:
Applies extensive knowledge of the job skills, company policies, and procedures to complete complex, specialized assignments/tasks in creative and effective ways. Comprehensive understanding of the general/technical aspects of the job. Works on assignments that are complex in nature and require considerable judgment, initiative, and technical/specialized knowledge to resolve problems and/or develop recommended solutions. Work is completed with minimal supervision, and assignments may be completed without established procedures. May determine methods and procedures for new assignments. Typically provides guidance to other non- exempt employees.
Responsibilities:
Provide exemplary administrative support to the Deputy General Counsel for Legal
Manages calendar for Leadership Team, including meeting prioritization and resolving calendaring conflicts seamlessly
Works closely with other Executive Assistants to ensure smooth running of all calendars; on occasions, works with L1 Executive Leadership Team to align meetings as needed
Ensures all travel-related needs are met, and any issues are addressed as soon as possible
Completes expense reports in a timely and efficient manner, while ensuring accuracy
Assists in planning and scheduling meetings – both large and small - for the Legal Products, Services, and Commercial Team. May include travel, hotel bookings, and ground transportation
Understands and ensures adherence to HP policies and procedures, including those related to travel and expenses
Provides leadership and partnership to other Assistants in Legal to ensure alignment and a consistent experience
Builds a strong network to ensure work is completed in a timely and accurate manner
Works on assignments that are complex in nature and require considerable judgment, initiative, and technical/specialized knowledge to resolve problems and/or develop recommended solutions.
Complete work with minimal supervision/direction
Type of Experience Needed:
Ability to work independently
Strong PowerPoint skills (Mandatory)
Ability to run meetings with high-level executives
Strong time management and ability to meet deadlines
Excellent verbal and written communication skills
Strong organizational skills and ability to multitask
Strong problem-solving and decision-making skills needed
Ability to act as a gatekeeper and escalate relevant information to executives as needed
Skilled in the use of standard office equipment (e.g., copiers, collaboration tools such as Zoom and TEAMS, projectors).
Ability to work effectively with minimal supervision
Strong interpersonal skills and relationship building
Ability to treat confidential information with appropriate discretion
Exceptional attention to detail
Intermediate or Advanced with Microsoft Office Suite and communication tools
Ability to perform under pressure
Notary certification preferred
Education Required:
High school graduate; two years or more of college-level education highly preferred.
Typically requires a minimum of 7+ years of general legal experience, or an equivalent combination of experience and college-level education
The pay range for this position is $39 to $49 USD per hour (applies to United States of America candidates only). Pay varies by work location, job-related knowledge, skills, and experience.
