Position Summary The Talent Acquisition Assistant supports Talent Acquisition by coordinating and executing key aspects of the hiring process. This role is responsible for screening applications, conducting high-volume pre-qualification candidate screens, drafting post screening summaries, scheduling interviews, ensuring candidate eligibility and documentation compliance, and supporting external and internal candidate sourcing activities. The Talent Acquisition Assistant sources qualified candidates using applicant tracking and HR systems and may contact candidates directly to discuss open positions, conduct interview screenings, and guide candidates through the application process. Acting as a key liaison between candidates, hiring managers, and members of the talent acquisition teams, this role delivers a positive candidate experience while ensuring the timely execution of hiring activities and expediting the talent acquisition process.
Job Description
Primary Duties & Responsibilities:
Screens job applications and schedules screening interviews for applicants to identify best fit candidates.
Screens prior employees for rehire eligibility and checks that transfer applicants have met transfer eligibility.
Assists in outreach to identify and build diverse pools of qualified individuals using a variety of platforms and approaches including AI and other resources as needed
Schedules and completes a high number of individual pre-qualifying screening interviews via (Zoom/Teams) or phone.
Drafts post screening interview summaries highlighting applicants’ qualifications.
Helps track open job requisitions and keeps the recruitment process moving forward by supporting recruiters in communicating with hiring managers to check the status of their search and offer support to encourage best practices and shorten the length of time it takes to fill a position.
Establishes and maintains a file of potential candidates for large incumbent positions to proactively contact previous qualified individuals regarding further openings.
Ensures pre-employment screening tests and assessments are administered appropriately and results sent to hiring managers. May assist hiring managers in evaluating and interpreting individual results.
Places advertisements as needed.
Provides follow-up correspondence to individuals on recruiting status.
Works collaboratively with the talent acquisition team to discuss openings and future hiring needs. Recommends candidates for future consideration.
Supports the Talent Acquisition team to effectively meet hiring goals including communication with schools/departments, applicants, advertising vendors, etc.
May also assist with job fair hosting and community outreach events.
Identifies opportunities for improving individual experience and scheduling efficiency. Provides feedback and updates to management on market trends and opportunities.
Submits reports in a timely manner.
May perform employment reference checks and verify required license/certifications on applicants.
Performs other duties as assigned.
